Terms and Conditions
1. BOOKING & PAYMENT

All bookings submitted to Choices International are only accepted on receipt of written confirmation from Choices International or its authorised representative. Payment in full must be made 4 weeks at the latest before a scheduled start date. All payments must be in sterling. All bank charges in the country of origin and in the UK are to be paid in remittance by the applicant. Choices International must be notified of all arrival and departure details
at least 20 days before the start of the course.

Choices International reserves the right to cancel or withhold confirmation of a booking or to withdraw educational and accommodation facilities after course commencement, at its discretion, if at any time incorrect information is supplied by or on behalf of the client, fees due to Choices International from the client have not been received, or if such action is otherwise deemed necessary in the interest of the client.

Choices International reserves the right to charge 2.5% per month on the unpaid amount of the fees due with effect from four weeks before the date of course commencement.Any last-minute requests or bookings must be confirmed in writing.

Choices International will charge a further administration charge of £125 (UK programmes) in addition to any new booking fees raised. Choices International cannot guarantee any last-minute request or booking will be fulfilled.

1.1. Bookings may be made by sending completing the official Choices International enrolment form via our online booking system.

1.2. For all International Academy Programmes, there is a Registration fee of £1,800 (VAT included)

1.3. Applications for online registration will be processed upon receipt of a completed application form and the pre-registration fee of £350 (which forms part of the full registration fee). The minimum age for entry to all open-enrolment programmes is currently 14 years (starting with our Youth Development Programme).

1.4. Once the student is accepted, Choices International will send an invoice. The remaining payment of the registration fee (£1450 VAT included) and the first payment of 25% of the fees are due at the time of booking. A booking confirmation will be issued once the booking deposit has been received, as follows:

A. Where the Agent collects fees from clients, documentation will be sent directly to the agent. The agent will be responsible for checking that the details are correct.
B. Where the Agent does not collect fees from clients, documentation will be sent directly to the agent.
C. Any documents sent by courier, as per the agent's request, will have an extra charge of £100.
D. Where a student has commenced a course and is repatriated for medical illness, or offences against Choices International, third-party partners and/or Civil Law, all costs will be borne by the student.
E. Choices International reserves the right to make an administrative charge for each change requested less than 2 weeks prior to course commencement.

1.5. Choices International reserves the right to cancel or withhold confirmation of a booking or to withdraw educational and accommodation facilities after course commencement, at its discretion, if at any time incorrect information is supplied by or on behalf of the client, fees due to Choices International from the Agent or the client have not been received, or if such action is otherwise deemed necessary in the interests of the Agent, the client or Choices International.

2. CANCELLATION

All cancellations must be made in writing and will be confirmed in writing by the Academy Team. If you cancel within 14 days of booking, a full refund will be provided minus a £1,800 registration fee. Refunds, where applicable, will be processed within 90 days of the cancellation date and refunded to the original payer using the same payment method.
This clause shall be deemed null and void, with late application submitted within 8 weeks of the course start date. Or where a visa is required and Confirmation of Acceptance for Studies CAS has been processed.

Cancellations are subject to the following charges:

2.1. Individuals:

a. Three months or more before the client ́s scheduled start date: Full amount paid refunded, minus a £1,800 application fee and an administrative fee of £125.

b. Cancellation between three months and one month: 50% of the total fees of the programme refunded.

c. All cancellations made 30 days or less before a scheduled start date: No refund.

d. The registration booking fee of £1,800 plus the administrative fee of £125, will not be refunded.

e. £20 fee will be applied to any refunds issued by bank transfer, in addition to bank fees.

2.2 Once the course has started, fees are non-refundable. A participant who fails to attend any part of his/her course due to illness or any other reason whatsoever, whether within or outside the participant's control, shall not be entitled to a refund of any fees paid, nor to attend any classes or training in place of those missed.

2.3 If a participant is seriously ill or injured and a doctor has diagnosed them as unfit to train or study, they must leave the programme immediately. Parents will be notified so that they can make the appropriate arrangements for his/her immediate departure/repatriation. In such an event, Choices International will not be liable for any expenses, and any costs incurred will be charged to the participant or their parents or guardians.

Some partial costs may be covered by the standard insurance policy provided in the programme, subject to the terms and conditions of the individual insurance policy applicable to each participant enrolled in the academy programme. Participants (or their fee payers) may be eligible to claim a refund of up to £7,500 through the standard insurance policy, subject to the insurer’s terms and conditions.

An optional Premium Insurance Service may be purchased at an additional cost. The Premium Insurance Service must be selected and confirmed by the participant (or fee payer) at the time of programme registration. This service is provided at an additional cost and may confer eligibility for a refund of up to £25,000, subject to the insurance provider's terms and conditions. Any cancellation claims must be made by the client directly to the insurance company. Choices International will not be involved in the claims process.

3. CONDITIONS

All programme places will be confirmed when either the deposit or full fees have been received. Payment of the registration fee regarded as acceptance of terms & conditions and is non-refundable. We may assign and transfer our rights and obligations under these terms to another organization. Choices International reserve the right to subcontract various element of our services under these terms to reputable companies selected by us.

3.1. Any alterations to bookings must be confirmed in writing. Choices International reserves the right to charge a
further administration charge of £125.

3.2. Right to Relocate. In the event of any unforeseen circumstances or Force Majeure Event affecting the original, Choices International and its third-party partners reserve the right to relocate training sessions to an alternative venue.

3.3. Alternative Venue. The Alternative Venue shall, where reasonably practicable, be within the same geographic area and of comparable standard.

3.4. Notification. West Ham United Foundation shall notify Choices International, which shall inform participants and take all reasonable steps to minimise disruption.

3.5. Change of Residential Accommodation: Right to Change Accommodation. Choices International may reassign Original Accommodation where reasonably necessary to ensure quality, accommodate participant numbers, or address safety or other material considerations.

3.6. Location of Alternative Accommodation. Alternative Accommodation shall, where reasonably practicable, be within 45–50 minutes travel time from the Main Training Venue, subject to normal traffic conditions, and of comparable standard.

4. VISA

Where applicable, Choices International will provide all the necessary documentation to enable students to secure their visas for the programme. However, Choices International shall only provide the visa service upon receipt of 75% of the total programme fee plus registration.

For applicants from countries classified as high-risk under UK visa regulations, Choices International requires payment in full 100% of the total programme fee prior to the issuance of any Confirmation of Acceptance for Studies (CAS) or supporting visa documentation. This condition ensures compliance with visa requirements and secures the student’s place in the programme.

For registrations submitted three months or less prior to the commencement of the programme, full payment of the programme fees shall be required before Choices International can issue the Confirmation of Acceptance for Studies for visa purposes.

Express courier cost for original booking documents to be sent from Choices International to a client: £100 will be requested ifthis service has been provided. Choices International will not provide any refunds or compensation for failure to obtain, maintain, or produce the necessary travel or immigration documents, including passports, visas, or permits. This includes visa denials due to eligibility criteria, late applications, prior refusals, criminal records, or failure to meet any required conditions. No payment will be returned under any circumstances if a participant is unable to travel due to non-compliance with these requirements. Proof of visa refusal must be provided and a scanned copy of the visa should be emailed to Choices International to enable us to check that it is correct.

Choices International cannot be held responsible for any errors made during the visa application process.

5. VISA CANCELLATION & INSURANCE REFUNDS

Some partial costs may be covered by the standard insurance policy provided in the programme, subject to the terms and conditions of the individual insurance policy applicable to each participant enrolled in the academy programme.

Participants (or their fee payers) may be eligible to claim a refund of up to £7,500 through the standard insurance policy, subject to the insurer’s terms and conditions. The Premium Insurance Service must be selected and confirmed by the participant (or fee payer) at the time of registration for the programme. This service is provided at an additional cost and may
provide refund eligibility of up to £25,000, subject to the terms and conditions of the insurance provider.
Programme fees will be refunded through the insurance provider only if the visa is refused through no fault of the participant. No refund will be made if the visa refusal results from the fault or negligence of the participant, parents, or agent, including but not limited to submission of incomplete documentation or insufficient proof of funds.

Any cancellation claims must be made by the client directly to the insurance company. Choices International will not be involved in the claims process.

6.1. LIABILITY & INSURANCE

Choices International will not be liable for loss, damage, illness or injury to persons or property, however caused, except where such liability is expressly imposed beyond exclusion by statute.

7. ACCEPTANCE CONDITIONS

We accept participants on the assumption that they are of sound health.
Participant who contract the Choices International programmes take full responsibility of risks inherent to the sports practice, as well as those related to the activity, including travelling in the company vehicles or on Public Transport. Parents, legal tutors or guardians of participants, voluntarily choose to allow their son/ daughter to participate in the programme knowing the risk inherent to sports practice or recreational activities, which could involve long-term injuries, disabling injuries or even death. Parents or tutors give consent to Choices International to take participants, accompanied by coaches or tutor, to journeys outside the premises in order to assist to recreational activities.

8. BEHAVIOUR

Choices International reserves the right to refuse or exclude any person at any time prior to or during the operational dates of the programme if, in the opinion of Choices International, that person is incompatible with the general well-being and safe running of the programme. In this instance, no refund will be given, and any costs incurred, including any damage, will be passed on to the participant or their parents or guardians, who will also be held responsible for any repatriation costs.

9. PARTICIPANT CONDUCT & DAMAGE LIABILITY

Choices International will vehemently pursue any participant damaging or defacing property while at the programme strong action will be taken against such participants. Payments will be sought in full from any such participant (or responsible parents) BEFORE departure to repair such damage. Participants must keep their room tidy, clean and in the same conditions as it was when they arrived at the programme. Choices International reserves the right to expel any participant from its programme if there is any damage to property, theft of property or act of vandalism.

10. FORCE MAJEURE EVENT

Choices International may cancel or modify a reservation due to a Force Majeure Event, which includes circumstances beyond our control such as war, extreme weather conditions, plague or infectious disease, threat of war, political crisis, civil commotion or strife, terrorist activity, strike or industrial action, natural disaster, fire and technical problems due to closure of airports or other transport problems making it impossible or unreasonable to
travel. (Physical injury of the participant prior to the date of attendance is not a force majeure event)

In such an event of force majeure, Choices International reserves the sole right to determine the remedy, which may include proposing an alternative date, relocating the programme, or issuing a credit note for the following year. The participant/client must accept the alternative service or date provided by the company.

A credit note shall only be issued at the absolute discretion of Choices International. Any credit note issued will be for the value of the programme fees only; registration fees are strictly non-refundable and will be deducted to cover administrative work already completed.

Participants must pay any reasonable additional costs incurred by Choices International for rescheduling or modifying the programme (e.g. increases in third-party costs or increases in programme fees from year to year) before attending an alternative programme or using a credit note.

11. NEGLIGENCE

We accept responsibility for those course elements under our direct control, if caused by proven negligence of Choices International or its employees. We cannot accept responsibility for loss of enjoyment due to travel, strikes, weather, loss or damage to luggage or personal property, personal injury, or illness while on the course, including use of subcontractors such as transport companies.

12. AMENDMENT CHARGES

Any alterations to bookings must be confirmed in writing. Choices International reserves the right to charge a further administration charge of £125. No changes will be allowed under any circumstances once the programme has started.

13. USE OF ELECTRONIC DEVICES AND PHONES

Mobile phones and electronic devices are not allowed during the training and academic classes.

14. COMPLAINTS

Any complaints against any aspect of the services provided by Choices International should be addressed in the first instance to the local representative on site. In the event that the matter is not resolved, the client or his agent should make an immediate complaint in writing to our head office. Such complaints will be investigated by the company.

15. AIRPORT TRANSFERS

We provide a ‘meet and greet’ service at an additional charge from the airport to the participant ́s accommodation. Our staff and authorised drivers will meet participants on arrival and will be identified and carry a Choices International sign with the participant’s name.

16. PARENTS' VISITS

To prevent any interference with the proper operation of the programmes and to encourage team spirit and personal development of participants, it is STRICTLY FORBIDDEN for parents or relatives of the participants to visit any of the training and academic facilities during the weekly programme.

17. DATA PROTECTION

References in this clause to the GDPR are to the General Data Protection Regulation. To deliver education and protect welfare, Choices International will collect and process personal data, including special category personal data (as defined in the GDPR), relating to the student and their circumstances. For the purposes of the Data Protection Act 1998 (the Act), the data controller is Choices International Limited, of 11 Portland Street, Manchester M1 3HU.

Full details of the personal data collected and processed by Choices International, the purposes for which it is collected and the legal basis for doing so are all contained in Choices International’s privacy policy, which can be accessed via this link: www.choices-international.com/privacy-policy. Choices International will comply at all times with our obligations under the GDPR in relation to the student’s personal data.

18. DISCLAIMER

Arrangements and courses outlined in Choices International publicity materials are given in good faith. However, activities and be subject to change for reasons of safety, or in the event of unsuitable weather conditions or other factors, which may arise beyond our control. Choices International reserves the right to change the particularities of programmes, including changes to courses, venues, facilities or dates of programmes where circumstances beyond our control necessitate such changes or where the level of bookings received does not exceed the minimum numbers required to operate a course viably. In this event we shall either provide comparable services or refund such part of that service which relates to the change. In either case, Choices International’s liability shall cease, and clients shall have no other or further claim against us. It is automatically assumed that pictures taken of players participating in training or lessons can be used in future brochures and advertising material.

Choices International reserve the right, by giving notice to clients at any time before the start date, to increase the price of the services being provided to reflect any increase in costs to our organizations, which is due to factors beyond our control, such as, without limitations, significant increases in accommodation costs, transport costs, labour costs, etc.

Choices International does not accept liability for personal injury, death of any participant, unless caused by the proven negligence of our staff.

19. INSURANCE

Insurance will be booked upon receipt of full payment. If you postpone after insurance has been booked, the
participant must purchase new insurance unless the postponement occurs within 14 days of the original booking
date. Insurance dates cannot be amended after this period.

20. VAT

All prices are exclusive of Value Added Tax (“VAT”). VAT shall be added to the price, where applicable, at the rate in force at the time of invoicing. Certain programmes may be exempt from VAT. If the applicable VAT treatment or rate changes prior to the receipt of any payment due, we reserve the right to adjust the amount payable accordingly.

21. LIMITATION OF LIABILITY

Choices International shall not be liable for any loss, inconvenience, or additional costs arising from such changes, provided reasonable alternatives are made available in accordance with this Agreement.

22. PROMOTIONAL VIDEO & PHOTOGRAPHY

Company brochures, website and other publicity materials are the responsibility of Choices International and the details are published in good faith as of November 2026. For promotional purposes we will take photographs and videos during our programmes or social activities which may be used in brochures or other publicity materials. Any photographs or videos that Choices International capture during our training, programmes or social activities will be the exclusive intellectual property of Choices International. Please advise at the time of booking if you do not wish to appear in any promotional material.

I authorise Choices International to carry out, by itself or through third parties, the capture of my image and/or voice in the photos and the recording of videos exclusively for communication and publicity purposes, promotion of activities in media internal or external to the COMPANY.

In the same way, I expressly authorise Choices International the rights to use my image derived from photos and recordings and the subsequent exploitation and use of the same in the terms previously provided in this assignment in all currently known media and those that may be developed in the future.
Likewise, I authorize Choices International to transfer my image contained in said photos and/or videos to third parties, for the same purposes set forth here in and under the previously agreed terms. The third assignee may exclusively use, worldwide and for an unlimited time, the image rights hereby assigned. On the other hand, and in accordance with the provisions of Organic Law 3/2018, of December 5, Protection of Personal Data and Guarantee of Digital Rights (here in after, "LOPDGDD"), I declare that I have been informed that in any case, the CLUB West Ham United Foundation will incorporate the captured Images into files owned by it and they will be processed for the purposes indicated above in this document. Both entities will keep said Images for the time necessary to carry out the activities. Both guarantee that the necessary technical and organizational measures have been adopted to ensure the correct treatment of the Images captured within the framework of the Action.

Likewise, I declare that I have been informed that, at any time, I can exercise the right of access, rectification, cancellation, opposition,limitation and, where appropriate, portability of my personal data provided here, by writing to the Organization at the address ( 11 Portland Street M1 3 UH, UK), indicating the reference "Data Protection" and the initiative in which the image was captured.

FEES & PAYMENT

Registration fee £1,800. A deposit of 25% of fees (plus registration fee) are due at time of booking, 50% of fees due 12 weeks prior to the start (or before the visa application). Final 25% payment due 4 weeks before the start date of the programme. Bookings within 8-weeks of a scheduled start date must be paid in full at the time of registration. Payment of 75% fees will be required for participants applying for a visa. For programmes in the UK, Choices International can accept payment only in sterling.

With all payment documents you must include (1) Full name of course participant (2) Course and start date a)Specify Deposit or Balance of Fees. The signatory to this registration form hereby confirms that they have received and understood the terms and conditions including our cancellation and refund policy.
The signatory further confirms that they accept full responsibility for the payment of all course fees and other sums due to Choices International, and confirms that the information given on this form is complete and correct.
